Standards & Guidelines of Academic Eligibility

for Cocurricular Activities

GENERAL CONSIDERATIONS:

  1. All students enrolled at Fox Valley Lutheran H.S. are encouraged to participate in cocurricular activities.  Such participation in cocurricular activities is considered a privilege.
  2. While participants are expected to devote time and effort toward cocurricular activities of their choosing, at no time should participation in these activities be permitted to interfere with academic pursuits.
  3. As a result, academic performance standards have been established to determine satisfactory or unsatisfactory academic progress for students participating in cocurricular activities.
  4. Evaluation of a student’s academic progress is completed at the end of each midterm and term (every 4-5 weeks throughout the school year).  A student’s eligibility for participation will be determined as a result of academic progress for the previous 4-5 week grading period.
  5. The end of Term 1 will serve as the first grading period to establish eligibility/ineligibility for all freshmen and new students.
  6. Student eligibility status is determined by the criteria outlined below.  A list of students whose participation has been restricted is provided to all coaches and supervisors who oversee cocurricular activities.

 

ELIGIBILITY CRITERIA*  (Students listed in any of the following categories will have computer and Commons privileges restricted.)

  1. Eligibility Warning (EW) – If a student receives two D’s on his or her progress report or report card, he/she will be encouraged to make an effort to improve the grade(s) of concern.  The student will remain eligible to participate in any cocurricular activity during the current grading period. 
  2. Ineligibility Pending Appeal (IPA) – If a student receives three or more D’s or one F on a midterm progress report or report card, participation will not be allowed in any cocurricular activity during the current grading period until the next eligibility list is published unless an Appeal for Eligibility form is submitted to the chairperson of the Academic Eligibility Committee.  This form is included in the report card mailing and must be submitted to the Guidance Director by 3:20 P.M. on the Tuesday after progress reports/report cards are mailed.  Upon submitting the Appeal for Eligibility form to the chairperson, a temporary eligibility status will be granted to the student until the Academic Committee for Eligibility acts on the appeal.
  3. Ineligibility (I) – If a student receives two F’s or more on the progress report/report card, participation will be denied throughout the duration of the current grading period.  A WF (withdrawal F) grade will be considered the same as an F.

 

*In compliance with the WIAA requirements, students transferring to FVL with two or more F’s are not eligible to participate in cocurricular activities until the next grading period.

 

Incomplete – An incomplete (INC) grade is usually considered the same as an F grade unless there is some acceptable circumstance.  The Academic Committee for Eligibility makes this determination.  The deadline for the completion of incomplete work is usually established in a reasonable amount of time by the classroom teacher.

 

Note:  Though INC’s are considered F’s for eligibility purposes, the grade is updated as soon as all required work is completed.  INC grades that exist after the Academic Committee for Eligibility meets each grading period will result in ineligibility from that date until the unfinished work is completed.

 

GRADE PROGRESS REPORT PERIOD AND REPORTING

  1. There are eight equal grading periods each school year. The length of each grading period is 4-5 weeks long.
  2. Student eligibility according to the criteria outlined above is determined from grades earned in the concluded grading period.
  3. A list of ineligible students is published within a week after the end of the grading period and distributed to coaches and supervisors of cocurricular activities.
  4. Students who are ineligible are notified by means of a Cocurricular Ineligibility Alert mailed with the progress report/report card.

 

CURRENT COCURRICULAR ACTIVITIES AT FVL

All boys’ and girls’ interscholastic sports, cheerleader teams, poms, intramural sports, student council, Cross and Crown staff, Cyber.geeks, FVL theater, drama groups, sound and light crews, no credit music groups (Choraliers, jazz and pep bands) forensics, STOP group, Quiz Wizards, Math Club, Mock Trial, pep, Science Olympiad, photography/safety/sports/science clubs, library and Media Center supervision, assistants to teachers/attendance/Guidance/administration, etc.  Any activity outside of the classroom is considered cocurricular.

 

DUTIES OF THE ACADEMIC COMMITTEE FOR ELIGIBILITY

Chairperson

The Guidance Director serves as the chairperson of the Academic Committee for Eligibility

Duties include the following:

  1. Supervise academic eligibility process.
  2. Update and publish ineligibility lists at the end of the eight grading periods throughout the school year.
  3. Inform students of ineligibility status.
  4. Call and conduct meetings of the Academic Committee of Eligibility during the appeal process.
  5. Spokesman to faculty, administration, parents on behalf of program and committee

 

Assistant Chairperson

The Athletic Director serves as assistant chairperson and ensures that the duties of the chairperson are carried out according to established guidelines.

 

Academic Committee for Eligibility

In addition to the Guidance Director and Athletic Director, committee members include all guidance counselors, the vice principal overseeing cocurriculars and two appointed teachers.  Committee duties are as follows:

  1. To meet when called by the chairperson after each eligibility list is published.
  2. To make decisions of student appeals for eligibility.
  3. To provide other direction to the program or chairperson as needed.
